About the Role:
Supervisory/Leadership Experience/Duties:
:Proven:Current experience managing or supervising a small administrative (executive admin) staff including: establish:delegate:follow:up on work to the executive administrative team with a strong emphasis on Work Quality and Deadlines;
:Experience partnering with Executive Management to schedule and direct administrative tasks and goals; will serve as the liaison between the admin pool and the executive team.
:Experience On:boarding new administrative employees (including interviewing, training, mentoring and following up on assigned tasks)
:Must be ready and willing to jump in and take on the work of your team members in time sensitive situations.
Administrative Experience/Duties:
:Must be organized and deadline driven / Must be detailed oriented / Strong Planning skills with Ability to multi:task and establish priorities.
:Excellent communication skills, both orally and in writing; the ability to suggest:recommend:present solutions to problems or issues is a strong plus.
:Knowledge of corporate business travel, expense reporting, record keeping, minutes.
:Experience working with a Corporate board of directors and executive level staff (including Finance, Legal, Project Management, technical:engineering:scientific leadership)
:Proven Experience working in a team focused Collaborative Environment.
:Must be Proficient in Microsoft Office with heavy PowerPoint in addition to Word and Excel
:Proven Experience learning:ramping up in a very technical, engineering or scientific environment in areas such as industry terminology (industry vocabulary); Regulated Industry forms:approvals:communication with a regulatory governing body (will Supervise, initiates and maintain a variety of files and records of information
:Experience managing multiple executive calendars and time commitments including coordinating between departments in resolving day:to:day administrative scheduling issues
:Experience scheduling:booking travel arrangements for the executive
:Ability to independently plan, organize, schedule, coordinate and make decisions and judgments relating to assigned projects and other responsibilities
:Ability to prepare clear, concise, thorough, meaningful and grammatically correct written reports, letters, memoranda and other written documents
